ILLiad Policies and Procedures

What is ILLiad?

ILLiad is a library service that retrieves books, articles, and other library materials, enabling members of the Tufts community to submit and manage requests for books, articles, theses, patents, and more available both at and outside Tufts libraries.

Eligible Users

Registration & Login

  • Log in to ILLiad using your Tufts username/password
    • Tufts Medical Center staff, associate members, and others without Tufts usernames, create their own username/password
    • First time users start from the ILLiad registration form, which will prompt to create a username/password along the way

Orders and Requests

  • Order items directly from databases using

Applicable Documents

Books, book chapters, articles, theses, patents, media, and more, both from within the Tufts libraries or from outside of Tufts

Number of Requests

  • If a high volume is requested, five requests per user per day will be processed, with potential for more based on capacity
  • Please use separate request forms for each individual chapter

Request History

  • Your ILLiad account shows activity from the last three years
  • Following three consecutive years of inactivity (i.e., the user has not placed any new requests within that time period), ILLiad accounts are deleted and the request history purged
    • Users may then re-register for a new ILLiad account, if still eligible 

Turn Around Time

  • The Turnaround Time Report displays recent timing for all Tufts Libraries
  • Allow five to ten working days for items that are not rush requests
  • Articles copied from the Hirsh Health Sciences Library (HHSL) collection are available within five business days
  • One-day rush is only available for non-returnable items, such as journal articles and book chapters, which are sent electronically 

Notification & Pick Up

  • Users are notified by email when requested items arrive
  • Articles and chapter excerpts are sent electronically and can be viewed from the 'Available for Download' queue in the user's ILLiad account; there is no instant download
  • All other items are available for pick up at the Library Service Desk on the 4th floor of the Tufts Center for Medical Education

Loan Periods & Renewals

  • Articles and book excerpts are sent electronically as pdfs and are available from the user's ILLiad account for 30 days
  • Books and other materials that must be returned are set by the lending library, and are typically due within one to two months
  • Renewals are made on a case by case basis
    • To renew, click on 'Request Renewal' in the ILLiad order within 7 days of the item's due date or email hhsl-docdel@tufts.edu
    • Overdue items cannot be renewed
    • a replacement fee will be charged for all items not returned

  • By logging into ILLiad, users agree to pay the fees associated with this service
  • Charges are doubled for copy requests of greater than 50 pages each
  • Students are charged $4 per request once they have ordered more than 20 items within an academic year, not including items from Tufts libraries and books/AV materials from BLC libraries
  • Rush service may include an additional $25 fee to cover expedited shipping costs (from library to library)
  • Where applicable, payment is required with the following exceptions:
    • Items needed by Tufts students attending an academic program away from the Boston-area for an extended period of time (please indicate in the "Additional Information" section of the ILLiad request form)
    • Special needs circumstances discussed with interlibrary loan staff (please indicate in the "Additional Information" section of the ILLiad request form)

N.B.: Charges do apply if these items are requested as rush. 

Payment

  • Invoices are sent out monthly
  • Payment can be made via Tufts DeptID, credit card (no Tufts p-cards), or U.S. check made out to "Trustees of Tufts College" and brought in/mailed to:

  • Tufts Medical Center cost center numbers are not accepted (please request a check from accounts payable instead)

Interlibrary loan privileges may be suspended, if outstanding invoices are not paid in full.

Remote Learning

  • Requests for items that must be physically mailed, e.g. whole books, theses, or media materials, will be filled on a case by case basis
  • Tufts students should indicate their remote status in the "Additional Information" field of the ILLiad request form
  • Library staff will work with the student to determine if a chapter/section can be scanned and sent electronically instead of physically mailing
  • If items are mailed, the student is responsible for mailing the item back to the library and incurring the cost of shipping

Copyright Restrictions

Under certain conditions specified in the copyright law of the United States (U.S. Code, Title 17), libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later users, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.
